Dynamic Data

Overview

The Dynamic Data Enrichment is a feature in Asset Essentials (AE) that converts basic HVAC/mechanical asset information into a detailed, enriched equipment profile. It uses enrichment service to automatically add specification data and OEM documents without requiring manual lookup or data entry.

This feature supports:

  • HVAC and mechanical equipment (air moving and water moving assets.)

  • Up to 120 enriched specification fields per asset.

  • Automatic retrieval of OEM manuals, installation guides, service bulletins, and diagrams.

  • Fast data processing—results appear within minutes.

  • Mobile OCR capture for quick data extraction from equipment nameplates.

  • Enrichment does not overwrite any existing fields. Instead, AE adds a Specification Data section containing the enriched information.

NOTE  The feature is available for users with an active Dynamic Data subscription (enabled via feature flag).

Enriching Assets

This section explains how to enrich HVAC and mechanical assets in AE to add detailed specification data and associated OEM documents.

Enrich Existing Assets (Desktop)

Follow the steps below when HVAC assets are already present in AE and require enriched specification data.

  • Log into Asset Essentials.

  • Go to Assets to view the full asset list.

  • Search or filter to locate the HVAC units.

  • Select one or more assets by checking the boxes next to them.

  • Click More → Enrich Assets. AE will enrich the data.

  • A pop up window confirms:

    • Number of assets successfully enriched.

    • Assets missing required information (e.g., serial number.)

  • Open any enriched asset to view the updated Specification Data and Documents sections.

Create and Enrich New Assets (Desktop)

Follow the steps below when adding a new equipment record manually.

  • Click Create Asset.

  • Enter asset details:

    • Asset Name

    • Make

    • Model

    • Serial Number

    • Location

  • Click Save.

  • Open the saved asset record.

  • Click Enrich to send data to Dynamic Data.

  • AE updates the asset with:

    • Specification Data (manufacturer info, refrigerant type, capacity, etc.)

    • OEM documents (manuals, diagrams, service bulletins)

Create and Enrich New Assets Using Mobile (OCR)

Follow the steps below when the asset is physically accessible for rapid data capture.

NOTE  Mobile OCR is supported only for creating new assets, not for enriching existing ones.

  • Open the AE Mobile App.

  • Click Create Asset.

  • Click the camera icon to activate OCR.

  • Scan the equipment’s nameplate (Make/Model/Serial).

  • Review the auto captured information.

  • Enter the Asset Name and Location.

  • Click Create Asset. AE automatically sends the captured data to Dynamic Data.

  • The enriched specification values and documents appear in the asset details once processing is complete.

NOTE  Offline mode is supported; scans sync when back online. The better the photo quality, the better the OCR accuracy.

Viewing Enriched Information

After enrichment, users will find new data under Specific Data and Documents sections.

Recommended Practices

  • Ensure Make/Model/Serial fields are accurate before enrichment.

  • Take clear, well lit photos when using mobile OCR.

  • Batch scan nameplates during PM visits for faster onboarding.

  • Use enriched data to improve:

    • Preventive maintenance planning

    • Filter/belt ordering

    • Refrigerant management

    • Capital planning and replacement forecasting
